Commercial clients don't buy cleaning, they buy a specification. Attaching a clear daily/weekly/monthly schedule to your quote makes you look like a contractor rather than a cleaner, and it protects you when someone asks why the windows weren't done.
Use this as your base specification and adjust the frequencies to the site.
How to use this checklist
- Attach the finished specification to the contract, and give a copy to whoever cleans the site.
- Log completion per visit, facilities managers ask for evidence, especially before renewal.
- Review the specification at three months. Sites always need a couple of frequency changes.

Every visit
- Empty all bins and replace liners
- Clean and disinfect toilets, urinals, sinks and touch points
- Restock toilet roll, hand towels and soap
- Clean kitchen surfaces, sink and appliance exteriors
- Wipe desks where clear, plus reception surfaces
- Disinfect handles, switches, rails and lift buttons
- Hoover carpets and mop hard floors
- Spot-clean entrance glass
Weekly
- Full internal glass to partitions and doors
- Dust skirting boards, sills and ledges
- Descale taps and around sinks
- Clean microwave interior
- Hoover edges and under desks
Monthly and quarterly
- High-level dusting: vents, tops of cabinets, light fittings
- Fridge interior cleaned out (with notice to staff)
- Chair bases, legs and upholstery vacuumed
- Internal windows and frames
- Hard floor machine clean or buff
- Carpet spot treatment or full extraction as contracted

- Put consumables on a separate line in your pricing. Supplying them at cost plus a margin is easier than absorbing unpredictable usage.
- Agree who reports faults, broken dispensers and blocked drains are the usual friction points.
